Got a meeting or event coming up and no clue how much coffee to brew?

You’re not alone. We all know that if you run out… everyone will turn grumpy really fast. Brew too much, and you’re pouring liquid gold down the drain. Neither one’s a good look.

Grab a mug and let’s sort it out together! Here’s exactly how much coffee you need per person, how many bags to buy, which brew methods fit your headcount, and how to keep every cup hot and fresh from the first hello to the last goodbye.

The Quick Answer: How Much Coffee Per Person?

The rule of thumb we recommend is 1 to 1.5 cups of coffee per person. Expecting 10 guests? Then you should plan for 10 to 15 cups of coffee to keep everyone happy.

Morning meetings are the thirstiest of the bunch, since most people want their coffee fix before anything else gets going, so planning for 1.5 cups of coffee per person for morning events is a good idea.

For an all-day event, you may need to plan for additional servings. Think conferences, all-day board meetings, or sponsored professional development days, where guests sticking around for the long haul can get through closer to 3 cups per person by the time it wraps up. Most event organizers plan to refresh the beverage station every 3-4 hours to keep things flowing.

Coffee Quantity Chart by Headcount

Assuming a standard coffee-to-water ratio of 1:16, here’s an estimate of how much coffee and water you’ll need. Once you hit 100 guests, you’ll need multiple 5lb bags of certified organic, Fair Trade bulk coffee — the more practical choice at that scale.

*Note: we rounded up the water and coffee amounts for practical event planning.

Which Brewing Method Suits Your Headcount?

Matching your brewing method to your headcount matters too. The chart below shows how many guests one brew setup can serve during a single break (assuming standard 8oz cups). For larger events, you’ll need multiple systems or thermal servers to keep up.

Expected Headcount

Output per Batch

Method

Grind

Brew Time

Things to Consider

60-90 guests

60-90 8oz standard servings

Large Urn Percolator (100 cup size*)

Coarse

~40-60 minutes

Handles large volumes in one footprint but requires a long lead time.

1-3 guests

1-3 standard cups

Pour Over (single serve or Chemex)

Medium

4–5 min per batch

Practical for small groups, but staggered brewing makes it impractical at scale.

3-4 guests

3-4 standard cups

Large French Press (8 cup)

Coarse

4-minute steep per carafe

The steep time requires careful timing to prevent over-extraction.

10-12 guests every ~6 minutes (depends on the model)

10-12 standard cups

Comm-

ercial Auto-Drip

Medium or medium-

coarse

4-6 minutes per batch

Rapid brew cycles let you brew successive batches while earlier ones are available in insulated servers or warmers.

*Commercial urn capacities often use 5- or 6oz "cups," so actual 8oz servings will be lower.

What Impacts How Much Coffee You Need for an Event?

Time of Day

Mornings see the heaviest coffee traffic, so plan for close to 1.5 cups per person. By afternoon, things settle into a steadier rhythm, closer to 1 cup per person, and by evening, you’re down to just a splash — around 0.5 to 1 cup per person.

Running a conference, an all-day board meeting, or a sponsored professional development event? Those long-haul formats can push demand up to 3 cups per person across the day, so budget accordingly.

Event Length

The longer your event runs, the more coffee it’ll need. A quick afternoon session might only need about 1 cup per person, while a full day on the agenda calls for 2 to 3.

The Attendees

Not everyone at your event will drink coffee, so as a rule of thumb, plan for roughly 70-80% of your attendees to want a cup. You can always nudge that number up if your crowd is full of committed coffee drinkers. Expecting 50 guests? Brew for about 35-40 cups rather than the full headcount.

Decaf and Half-Caf Demand

Don’t sleep on decaf demand, either. About one in ten coffee drinkers switch between regular and decaf depending on the time of day, so it pays to have both on hand.

Food Pairings

If you’re serving breakfast or lunch, you can expect the coffee to flow faster when there’s food on the table.

Beverage Alternatives

Offering tea, soda, or other drinks on the side? Some guests will peel off for those instead, so you can ease back on the coffee a touch.

How to Brew Coffee for a Large Crowd

Scaling up from a kitchen pour-over to an event for 100 or more requires a bit more planning than just getting more water and coffee. Consider these tips when brewing for a crowd.

  1. To keep beverage lines short, set up multiple stations. You can also brew in advance and store brewed coffees in insulated thermal servers.

  2. Avoid leaving brewed coffee sitting on a hot plate for more than 30 minutes to prevent burnt flavors; for longer holding, use an insulated thermal server.

  3. Match the grind to the brew method. A common mistake is using a medium grind in a large coffee urn, which can result in too many fines and a bitter, overextracted brew.

  4. Don’t forget to account for the brew time, which is especially important with large percolators, which may require an hour to brew.

  5. When offering a decaf option, be sure to clearly label all the different coffees.

  6. Look for our certified organic, Fair Trade bulk coffee in 5lb bags — a cost-effective option for large crowds, and coffee we’re proud to source through our direct partnerships with farmer cooperatives. What To Serve Alongside Coffee at a Meeting or Event

Don’t let your coffee station go it alone. Round it out with:

  • Cups

  • Spoons

  • Napkins

  • Cream (dairy and plant-based options)

  • Sweeteners (sugar, cane sugar, and sugar-free options)

  • Water

  • Tea

  • Cookies (optional)

Frequently Asked Questions

How Much Coffee for 100 Guests?

For 100 guests, budget around 150 cups for the day — our 1 to 1.5 cups per person rule of thumb at scale. Mornings pull more of that total than afternoons or evenings, so adjust your brewing schedule, and swap in a fresh batch every few hours to keep it tasting its best.

How Long Can Brewed Coffee Sit Before It Goes Bad?

Brewed coffee stays fresh for about 30 minutes on a hot plate, or a few hours in an insulated thermal carafe. If you’ve already added milk or creamer, discard it after about 2 hours at room temperature for food safety reasons.

Great Events Deserve Excellent Coffee

There’s nothing like great coffee for pulling people together, keeping the conversation flowing, and fueling a genuinely productive meeting. Plan ahead, match your gear to your headcount, and keep that thermal dispenser topped up, and you’ll dodge empty urns and long lines altogether.

Whether you need a couple of 1lb bags for a small event or multiple 5lb bags for a large event, starting with great beans makes a big difference. Through our People-Centered Development approach, we’ve built long-term, direct partnerships with cooperatives like the Cooperativa de Producción Tzeltal-Tzotzil in Mexico — relationships that put money straight back into farming communities. Explore our fresh-roasted certified organic, Fair Trade bulk coffee selection for a range of roasts and origins to serve at your next gathering.
